Schools Program Manager

Job Purpose

The Schools Program Manager is part of a team that is responsible for the delivery of
unmatched developmental experiences, activity and program excellence, and world-class customer
service and engagement. This position contributes to leading and executing: activity and program facility
development, guest group experiences for all Schools & Groups guests (schools, retreats, and Leadership
Studio groups), as well as full-time and seasonal staff management. The primary responsibility and focus
of this position is to develop and deliver excellent experiences for school trips.

Key Job Functions

Activity and Program Operations

  • Accountable for managing guest safety for all activity and program areas
  • Ensure all programs follow OCA, OPHEA, and Muskoka Woods Standard Operation Procedures
  • Ensure Risk Management compliance processes are being followed and submitted to the Risk Manager
  • Work with the Guest Services Manager to design and implement school itineraries and the standard activity matrix
  • Communicate with guest groups ahead of time to help achieve desired outcomes from their trip.
  • Communicate to full-time, CORE and seasonal staff to ensure program execution
  • Communicate with School Leaders once on site to ensure an exceptional experience 
  • Identify and resolve issues in a timely manner as they arise with schools, staff or other stakeholders
  • Responsible for the guest readiness of activity and program areas, including seasonal ordering, set up and tear down of equipment
  • Work with the Program Manager Team to ensure that all programs execute at a high level
  • Coordinates with other departments for guest-ready spaces and program execution (Production, Maintenance, Housekeeping) 

Activity and Program Development

  • Responsible for the selection and maintenance of activity and program offerings
  • Work with the Director of Schools & Groups to brainstorm and implement new program ideas to drive the business forward
  • Participate in and lead with the EOS Processes
  • Quarterlies and Annuals
  • Weekly L10s
  • Set, manage and complete personal/team rocks each quarter
  • Review teacher/leader feedback to address issues and inform future programming

Customer Service

  • Executes the absolute best customer experience for our group leaders through activity and
    program preparedness, onsite communication and problem-solving as issues arise
  • Lead full-time coordinators and seasonal CORE members with guest-related issues
  • Manages and executes guest requests in a professional and timely manner
  • Train full-time coordinators and seasonal staff how to interact with guests and group leaders
  • Instruct and coach seasonal staff in activity lesson plans and execution

Staff Hiring, Management, and Development

  • Participate in interviewing and hiring Schools & Groups Program CORE Staff 
  • With the other Program Managers: identify staffing needs for future seasons and communicate with HR and the Director of S&G
  • Participate in and implement quarterly Staff Development Weeks  
  • Responsible for department-specific training with Schools & Groups Program CORE and seasonal staff
  • Responsible for department-specific training with Schools & Groups Program CORE and seasonal

  • Oversee the team of full-time Program Coordinators (2)
    • Weekly Check-Ins
    • Plan/lead weekly Coordinator Level 10 meetings
    • Plan/lead Quarterlies and Annual Meetings
    • Assigning accountabilities
    • Growth Rings and general feedback/coaching
    • Manage team schedules
  • Oversee Program CORE and seasonal staff
    • Daily CORE and seasonal staff meetings
    • Weekly Meetings
    • Performance review, written or verbal warnings, absences and illness
    • Identify and coach up future CORE staff among the seasonal staff
  • Liaises with other departments about program needs and concerns

Other

  • Works cross-departmentally (Maintenance, Kitchen, Housekeeping, Summer) as needed (e.g. doing dishes, shovelling snow, cleaning accommodations)
  • Participate in meetings as required 
  • Participate in all corporate events including Town Halls, the Arboretum, and the annual Staff Retreat
  • Personal/Professional development as required
  • Attend weekly Cadence services and lead a small group
  • Weekly check-ins with one to ones

Qualifications and Experience Required

  • University/College degree in either Education, Kinesiology, Recreation & Leisure or the equivalent
  • One to three years of year-round camp experience or the equivalent of working with children and youth
  • Ropes Course certification and experience is an asset
  • Standard First Aid, or equivalent, is an asset
  • NL or Bronze Cross certification and experience is an asset

Essential Functions Required

  • Ability to lift and move 10 to 40 lbs
  • Able to stand, walk and work for 6 to 8 hours
  • Ability to communicate both written and verbal with staff and guests
  • Possess physical and mental strength and endurance to maintain constant supervision of guests and staff
