Human Resources Coordinator

We are located on the shores of beautiful Lake Rosseau and specialize in summer camp, school trips, group retreats and leadership development for all ages. Job Purpose
The purpose of this role is to champion and ensure the effective hiring and onboarding of 375 summer staff. By overseeing and participating in the full summer employee lifecycle, this position manages end-to-end staffing processes including interviews, contract management, HR administration, supporting training and staff care, coordinating cross-departmental planning and leading key HR projects.
The HR Coordinator plays a central role in fostering a positive employment experience by supporting staff wellbeing, initiating staff care programs, overseeing performance and discipline processes, and maintaining year-round engagement with summer staff members. This position also supports the broader HR team through participating in all HR related activities related to year round seasonal and full time staffing.
Key Job Functions
Recruit, Interview and Hire Seasonal Staff:
- Review applications, references and profiles and offer interviews to applicants.
- Conduct online interviews and complete all follow up administrative duties
- Manage contract processes and follow up with applicants.
- In conjunction with the broader team, hire a full complement of seasonal summer staff and assist in seasonal year round staffing.
- Coordinate and lead weekly summer staffing team meetings including follow up and all related tasks.
- Participate in recruitment initiatives such as attending recruitment events, sending out emails and texts.
- Update interview process annually and train new interviewers including interview booking platform
Coordinate HR Team Projects
- Update and manage annual Job Launch Plan
- Update and manage annual Summer Prep & Wrap Up Plan
- Coordinate summer staff arrival plans in collaboration with other departments
- Update and create seasonal, summer and full time job descriptions and website posts
- Spearhead annual HR hosted Summer Leadership evening program
Related HR Administration
- Manage applications and all employee information in the online HR Database system.
- Administer contracts with accurate start and end dates, salary and time off.
- Respond to all related emails from applicants and staff in a timely manner
- Create annual HR files including Growth Rings, time off slips, disciplinary documents and departure forms
- Coordinate and assign all summer housing and staff laundry procedures.
- Manage and approve additional time off requests and report to summer payroll.
- Coordinate with other departments to provide coverage for seasonal staff time off or sickness including assigning volunteers and alumni volunteers accordingly.
- Manage summer growth rings process for staff retention.
- Set up and maintain the summer staffing board throughout the course of hiring.
- Run HR database reports for relevant staffing information
- Train and supervise the summer HR Assistant.
Onboarding and Staff Training
- Update Summer Prep course content and on online training modules including the Summer staff manual
- Manage online training platforms and course enrolments including WHMIS, Food Safety and Summer Prep Course
- Ensure all onboarding is completed by summer staff in conjunction with the HR team.
Staff Care and Employment Experience
- Initiate and participate in staff care and support initiatives for all summer staff.
- Work collaboratively with the Summer Team and communicate any HR related topics and issues
- Communicate with the onsite health care team to ensure follow up for any staff injury or illness.
- Provide mental health support & resources, and facilitate accommodation plans
- Participate in staff discipline process including giving warnings and terminations.
- Coordinate summer staff cabin clean up
- Welcome new staff throughout the summer and ensure all details are communicated to departments to support their integration into camp life
- Lead a small group and participate in one to one mentoring relationships throughout the summer.
- Remain connected to seasonal staff through email, phone calls and texts throughout the year.
Other
- Participate in weekly L10 meetings.
- Participate in other meetings as needed.
- Participate in corporate events including Huddles, Town Halls, the Arboretum, the annual Retreat
- Be available for “on call” evenings during the summer months
- Personal and professional development.
- Other requests as outlined by the Director of HR.
Skills and Attributes Required
- A desire to care for seasonal staff and participate in creating an incredible work experience
- Ability to see the big picture, take initiative and manage a variety of tasks seeing overall outcome
- Demonstrated time management and administrative skills
- Attentive to detail and following through on all related tasks.
- Excellent communication skills both verbal and written
- Ability to work independently and on a team
- Proficient in Microsoft Office and Google Workspace
- Passion for youth ministry, the camping industry and leadership development

Experience Required
- College Diploma/University degree in related field
- 2 to 3 years of work experience in Human Resources or a related field
- Summer Camp and/or Muskoka Woods experience is preferred
Essential Functions
- Ability to sit, talk, hear, see and use hands and fingers to operate a computer and telephone.
- Ability to sit at a computer terminal for an extended period of time.
- Ability to communicate both written and verbal with guests and staff.
- Able to maintain energy to work 8 to 10 hours a day in the summer months.
Salary Range
$40,000 – $45,000/ year including room and board
Location
September to mid June – Remote work with periodic in person meetings.
Mid June to August – this position is required to move to the resort for the summer months. Accommodation is provided.
