Job Purpose
The Guest Relations Coordinator assists in preparing both our customers and staff for life-changing summer experiences through unmatched service, clear communication, and diligent follow-through of key tasks. The role advocates for our customers’ best interests, and Muskoka Woods’ best solutions. The Guest Relations Coordinator will track with customers during and following the registration process, providing support and answering questions across various mediums (in person, over the phone, email, live chat). The position is responsible for administering all tasks pertaining to registration and parent preparation prior to and during the summer, executing on special projects, and leading seasonal summer staff.
Key Areas of Responsibility
Customer Experience & Service Delivery
- Provide timely, professional, and solution-focused support to families on topics such as registration, activity schedules, financial transactions, transportation bookings, and account changes.
- Maintain excellent customer relationships and serve with a “deliver with excellence” mindset in all interactions.
- Follow up clearly and promptly after every customer interaction to ensure resolution and build trust.
- Promote the services and benefits of Muskoka Woods overnight summer camp to prospective families and support efforts to exceed guest week targets and sales goals.
- Execute outbound call campaigns—including NYR (Not Yet Registered) calls—and other sales initiatives to support the registration process and lead families through the sales cycle.
- Receive and respond to customer inquiries via phone, email, and other platforms in a way that reflects care, accuracy, and brand alignment.
- Assist Summer Directors in resolving guest-related issues that arise during the camp season.
- Represent Muskoka Woods at occasional events or trade shows to connect with prospective families and promote camp experiences.
Systems & Process Support
- Maintain and update customer accounts in the camp registration system (CircuiTree), ensuring timely reflection of changes and accuracy of family data and relationships.
- Prepare and finalize guest accounts ahead of the summer season, ensuring payment and communication are complete.
- Create and deliver accurate reports for Summer Directors and the Guest Relations team as needed.
- Support the Guest Relations Manager in the administration and improvement of the phone system to enhance the customer calling experience.
- Assist the Transportation Coordinator in confirming safe travel arrangements to and from camp for all guests.
Team Collaboration & Leadership
- Assist in the interviewing, hiring, onboarding, and training of seasonal Guest Relations staff as needed.
- Provide support and informal leadership to seasonal staff, helping them achieve their goals and deliver consistent, high-quality customer service.
- Contribute to onboarding and training on customer service practices and use of internal tools like CircuiTree.
- Collaborate with internal departments to develop and deliver guest-focused solutions that support smooth operations across teams.
Organizational Involvement & Growth
- Participate actively in team meetings, cross-departmental planning sessions, and corporate gatherings as required.
- Contribute to special projects and assignments as outlined by the Guest Relations Manager.
- Engage in ongoing personal and professional development to enhance skills and effectiveness.
Qualifications/Experience Required
- Related College/University degree or equivalent experience
- Experience with credit card transactions and basic accounting
- Proficient using Excel, Word and Google Drive
- 1-2 years customer service experience
- Database experience considered a strong asset
- 2 – 3 years of summer camp experience or the equivalent in working with youth is preferred

Essential Functions Required
- Ability to sit, talk, hear, see and use hands and fingers to operate a computer and telephone.
- Ability to sit at a computer terminal for an extended period of time.
- Ability to communicate both written and verbal with guests and staff.
Salary Range
$35,000 to $39,000/year
Please note: This position is remote work from home from September to mid June. The role then transitions to being onsite at our Resort from mid June to the end of August. This role also requires the employee to work 6 days per week for the 10 weeks of the summer camp program. Time will be given in lieu in the fall season.
